If you are in business and have talked to an IT person about email, then you’ve probably heard the term “Exchange” or “Microsoft Exchange.”  But what exactly is Exchange and how is it helpful for a business?  This article will hopefully shed some light on this critical collaboration tool.

What is Exchange (aka Microsoft Exchange, aka Exchange Server)?

Simply put, Exchange is a storage mechanism for a business’s email.  If you have a Gmail or Yahoo email account, your email is stored on a server owned and managed by those email providers in a datacenter somewhere.  What Exchange does is store your business email in a similar fashion, allowing the employees of the business to access their email through Microsoft Outlook without having to download each email onto the employee’s computer.  Exchange also makes it simple to backup and retain emails both sent and received by individuals at the business.  In short, it is a storehouse for the emails for your business.

What is the Benefit of Using Exchange for a Business?

- There are several benefits for a business to use Microsoft Exchange:
- Exchange keeps the email in one central location rather than on individual workstations
- It allows easy backups and retention of emails, including files sent and received through the business’ email
- It allows users to collaborate, schedule meetings, share calendars, and even schedule meeting rooms (resource management)
- It allows users to access email, calendars, and other resources using mobile devices to stay connected anywhere
- Individuals can use either the standard Outlook program on their workstation or a web application to access company email.

Microsoft Exchange is one of the best tools on the market to help businesses maintain information while allowing easy collaboration among employees.
